About us

Made with Insight Ltd is a research and insight consultancy. This notice explains how we collect, use and protect personal information through our website, business activity and research work.

We are registered with the Information Commissioner’s Office under registration number ZA781728.

If you have any questions about how we use personal information, contact:

data-protection@madewithinsight.com

1. What information we collect

  • name, email address, phone number, job title and organisation
  • information sent to us through our website contact form, email, LinkedIn or referrals
  • information shared during research projects, such as survey answers, interview comments, recordings or transcripts
  • publicly available professional information, where we have a legitimate business or research reason to use it

Our website contact form is provided through Typeform. Information submitted through the form is processed securely by Typeform on our behalf.

We only collect information that is relevant and necessary.

2. How we use personal information

  • respond to enquiries submitted through our website, email, LinkedIn or other contact routes
  • discuss, set up and deliver projects
  • manage client, supplier and associate relationships
  • recruit and manage research participants
  • analyse research findings and prepare reports
  • keep appropriate business, legal and accounting records

We do not sell personal information.

3. Our lawful basis for using information

Depending on the situation, we rely on:

Contract
When we need to use information to discuss, set up or deliver work.

Legitimate interests
When we use information in a way people would reasonably expect, with limited privacy impact. This may include responding to enquiries, professional networking, business development, desk research and keeping business records.

Consent
When someone agrees to take part in research, receive updates, or where consent is otherwise the right basis. Research participants can usually skip questions or stop taking part.

Legal obligation
When we need to keep records for tax, accounting or other legal reasons.

4. Research participants

When you take part in research, we will usually provide a separate project-specific privacy notice. This will explain who the research is for, what information is being collected, how it will be used, who it may be shared with, and how long it will be kept.

Research data may include survey answers, interview comments, recordings, transcripts, opinions, professional details or other information relevant to the project.

Where possible, we anonymise or aggregate findings before reporting them.

5. Who we share information with

  • clients, where needed to deliver a project
  • trusted associates or consultants working with us
  • research platforms, survey tools or transcription services
  • recruiters or fieldwork partners
  • business software and service providers, including Typeform for website enquiries, as well as tools for email, cloud storage, finance, CRM, project management, communication and automation
  • accountants, legal advisers or other professional advisers
  • regulators or authorities, where legally required

We may use a CRM system to manage business contacts, enquiries and client relationships.

We only share what is necessary and expect anyone handling information for us to protect it properly.

6. International transfers

Some service providers may, where relevant, process information outside the UK. Where this happens, we take steps to make sure appropriate safeguards are in place.

7. How long we keep information

We keep personal information only for as long as needed.

As a guide:

  • enquiry information is normally kept for up to 36 months after our last substantive contact, unless there is an ongoing business reason to keep it for longer
  • client, supplier and financial records are kept as needed for contractual, legal and accounting purposes
  • research data is kept according to the specific project agreement or privacy notice
  • where possible, research data is deleted, anonymised or archived securely once it is no longer needed

8. How we protect information

We use secure cloud-based systems, password controls, two-factor authentication and restricted access to project information.

Access to personal information is limited to people who need it for their work.

9. Use of AI tools

We may use AI-assisted tools to support our work, for example to help summarise materials, organise notes, draft documents, analyse themes or improve internal efficiency.

We do not use AI tools to make solely automated decisions about people.

Where personal information is involved, we limit what is shared and use appropriate settings, access controls and supplier terms where available.

We do not permit confidential client information, research participant data or sensitive personal data to be used to train public AI models.

Where AI tools are used in a specific research project, we will explain this in the project materials or privacy notice where relevant.

10. Cookies

We do not currently use analytics or advertising tools on our website.

Our website and embedded third-party services, including Typeform, may use strictly necessary cookies or similar technologies required for functionality.

If this changes, for example if we add analytics, embedded media or marketing tools, we will update this notice and provide any notices or controls required.
